Privacy Policy

A concise explanation of how Bright Groove uses and protects personal information.

Last updated: 3 October 2026

Graziele Ramos, trading as Bright Groove, is the data controller. Questions and privacy requests can be sent to grazi@brightgroove.co.uk or WhatsApp +44 7923 003604.

Information we collect

We may collect parent or guardian contact details; a child's name, age or date of birth, attendance, authorised collectors, emergency contacts and relevant allergy, health or support information; booking and payment status; consent choices; correspondence; and website information such as IP address, device data, pages visited and advertising identifiers. We do not store full card details.

Why we use it and our lawful bases

We use information to answer enquiries, manage bookings, deliver classes, take payment, record attendance, communicate changes, keep children safe, handle incidents and meet legal, insurance and accounting duties. Our lawful bases may include steps before a contract, performance of a contract, legal obligation, legitimate interests and vital interests. We use consent where required, including for promotional images, marketing and non-essential advertising technology. Relevant health information is used only where necessary, with an appropriate lawful basis and special-category condition.

Children's information

We collect only what is reasonably needed for administration, participation, safety and safeguarding. Information should be supplied by a parent or guardian unless Bright Groove explains otherwise. Children have data-protection rights and information will be explained in an age-appropriate way where needed.

Who we share information with

Where necessary, we may use trusted providers for website hosting, email, databases, booking, payment and class administration. We use ClassForKids to take bookings and manage class registers, and payments are processed through ClassForKids' payment provider (Stripe). We do not see or store your full card details. We may share limited information with venues, insurers, professional advisers, emergency services, safeguarding professionals or authorities. Some providers may process information outside the UK using legally recognised safeguards. We do not sell personal information.

Cookies, analytics and advertising

Our website uses essential technology and may use analytics, Meta Pixel and Meta's Conversions API to understand visits and measure advertising. Non-essential advertising tracking should operate only with consent. Advertising partners may receive online identifiers and event information; Bright Groove does not send children's health, allergy or safeguarding information to advertising platforms. Consent can be withdrawn through available cookie controls or by contacting us.

Photography, video and marketing

Identifiable images of children are used for promotion only with separate parental opt-in consent. Consent may be withdrawn for future use. Marketing messages are sent only where permitted and will provide a way to opt out.

How long we keep information

Enquiries are normally kept for up to 24 months after the last contact. Booking, attendance and contractual records may be kept for up to six years after the relationship ends; financial records are normally kept for six years. Health and emergency information is deleted when no longer needed unless an incident, legal, insurance or safeguarding reason requires longer retention. Safeguarding records are retained securely according to applicable guidance and the circumstances of the concern.

Security and your rights

Bright Groove uses reasonable access, storage and organisational safeguards. Depending on the circumstances, you may ask for access, correction, deletion, restriction, portability or object to processing, and may withdraw consent at any time. Contact grazi@brightgroove.co.uk. You can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or 0303 123 1113.

Updates

This policy may change when Bright Groove's services, providers or legal obligations change. The latest version will be published on the website.

Venue

Our classes take place at The Mall School. We share only the information the school reasonably needs, such as attendance for fire safety.
